You probably don't want an AI assistant answering every client email on your behalf. What you do want is less time sorting messages, chasing threads and writing the same kind of reply for the fifth time. Start with a system that organizes your inbox and prepares drafts you can approve.

The safe starting point

Begin with inbox classification → summary → draft creation → human approval. Do not automatically send personalized messages to customers or accept payment instructions until you have tested the workflow, defined safeguards and obtained appropriate authorization.

What you can automate

  • Label inbound inquiries by category: prospect, existing client, vendor, newsletter and uncertain.
  • Identify unanswered conversations without inventing urgency or deadlines.
  • Extract confirmed requests and unresolved questions into a daily review queue.
  • Generate replies as drafts, including explicit placeholders for missing details.
  • Prepare gentle follow-up candidates using actual conversation history and known due dates.
  • Create CRM tasks after validation and duplicate checks.

Choose one workflow: inquiry to draft

A potential customer emails asking for your SEO audit package. An authorized mailbox trigger delivers a message ID and sender. Your workflow fetches the body only with appropriate permissions, checks for duplicates, extracts the requested service, drafts an acknowledgment and creates a review task. You inspect the draft before sending; the model must not promise a price, turnaround or availability unless verified from your source of truth.

Design the data fields

  • message_id and thread_id for idempotency and threading.
  • sender, received_at and subject for routing.
  • classification with a restricted set of accepted labels.
  • summary and draft_response as clearly separate fields.
  • requires_human_approval, error_status and reviewer.
  • crm_contact_id, if a verified customer match exists.

Prompt template for email triage

Prompt: “You are an inbox assistant for a freelance business. Use only this sanitized message and the approved service facts below. Classify into prospect, customer, partner, marketing or uncertain. Return a short summary, the customer's explicit request, missing facts and a suggested reply of at most 120 words. Never invent pricing, meeting times, deliverables or contract terms. If the message concerns legal issues, payment-account changes, password resets or threats, classify uncertain and do not draft a send-ready message.”

Create drafts without sending

For Gmail, the official API provides drafts.create to save a draft and drafts.send to send it later. These are different actions; a safe workflow ends after draft creation and requires a human decision to proceed. Read Google's draft guide and use narrowly scoped OAuth permissions. Some public apps also require Google's verification process.

Follow-up automation without spam

Only propose follow-ups for established, relevant business conversations. Check the last outgoing and incoming messages, customer preferences, contact consent and time elapsed. Suppress reminders after a reply, unsubscribe or objection. A transactional follow-up is not permission to add someone to marketing campaigns.

Handle malicious and accidental failures

  • Treat incoming email content as untrusted data, not instructions to the AI agent.
  • Reject or quarantine links that request credential changes or financial transfers.
  • Require human review for new recipients, sensitive attachments and contractual commitments.
  • Use stable message IDs so a retry never creates duplicate sends.
  • Record errors and alert an owner rather than silently losing a client inquiry.
  • Minimize retention and redact private information before unnecessary model calls.

Measure success over two weeks

Track time-to-first-reviewed-draft, classification accuracy, duplicate drafts, false promises, manual edits and email-related incidents. Include platform charges and model usage in the cost calculation. A good automation reduces workload without increasing communication mistakes.

FAQ

Can Gmail create drafts automatically?

Yes. The Gmail API supports authorized draft creation. Sending is a separate operation that you should protect with an approval step.

Should AI email prospects without approval?

Begin with human approval. Move to automated low-risk templates only after rigorous testing, clear recipient authorization and monitoring.

What if the model misclassifies an email?

Provide an uncertain category, rule-based handling for high-risk requests and easy human override.
